Role Overview

The Executive Assistant will provide comprehensive administrative and organizational support to the CEO of a dynamic startup entertainment company. The role involves managing a complex schedule, coordinating meetings, handling travel arrangements, and ensuring the smooth functioning of the CEO’s office. The ideal candidate will be highly organized, proactive, and possess exceptional communication skills.

Key Responsibilities

1. Calendar Management

  • Manage the CEO’s calendar, scheduling meetings, appointments, and travel arrangements.
  • Prioritize and coordinate meetings, ensuring timely and efficient use of the CEO’s time.

2. Travel Arrangements 

  • Book travel arrangements, including flights, hotels, and transportation, as needed.
  • Prepare and organize travel itineraries and documents.

3. Project Coordination:

  • Assist the CEO in project management, coordinating with team members and tracking progress.
  • Provide administrative support for various company initiatives.

4. Communication:

  • Handle incoming and outgoing correspondence, including emails, phone calls, and letters.
  • Screen and prioritize incoming calls and emails.

5. Office Management:

  • Maintain the CEO’s office and ensure a tidy and organized workspace.
  • Order office supplies and manage vendor relationships.

6. Event Planning:

  • Assist in the planning and coordination of company events, meetings, and conferences.

7. Research:

  • Conduct research on industry trends, competitors, and potential partners as requested.

Requirements

  • Bachelor’s degree or equivalent work experience.
  • Proven experience as an Executive Assistant or similar administrative role.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • Discretion and confidentiality.
  • Flexibility and adaptability to changing priorities.
