Job Summary
Alpha Force is seeking an Office Administrator to join their team! You will be responsible for ensuring the efficient operation of the office by providing administrative support, managing office resources, and facilitating effective communication within the organization. The role requires a proactive and organized individual with excellent communication skills.
Key Responsibilities
a.) Administrative Support:
- Manage office correspondence, emails, and phone calls.
- Coordinate and schedule meetings, appointments, and events.
- Prepare and distribute internal and external communications.
b.) Office Operations:
- Maintain office supplies and equipment, ensuring they are well-stocked and in working order.
- Order office and cleaning supplies as needed.
- Oversee the day-to-day running of the office, including space management and office cleanliness.
- Handle incoming and outgoing mail and packages.
c.) Communication:
- Serve as a point of contact between staff and management.
- Ensure effective communication within the organization.
- Manage and update contact lists.
- Support cold calling of new and old clients to ensure delivery of quality services.
- Support posting of social media posts and management of the content calendar.
d.) Records Management:
- Maintain and organize office files and records.
- Assist in the development and implementation of record-keeping procedures.
e.) Financial Administration:
- Assist with basic financial tasks such as expense tracking and invoicing.
- Collaborate with the finance department for budget monitoring.
f.) Human Resources Support:
- Assist in onboarding new employees.
- Maintain employee records and assist with HR-related tasks.
g.) Event Coordination:
- Support the planning and execution of company events and functions.
- Coordinate logistics for meetings and conferences.
The Office Administrator will report to the Finance and Operations Manager
Working Conditions
The position is a full-time role, operating within standard office hours, Monday to Friday from 8:30am to 5:30PM. Some flexibility may be required to accommodate specific tasks or events.
